Reports To: Client Service Manager

Position Summary: This position calls for someone eager to learn, help, and adapt! A critical role for Willow, Account Coordinators can turn talk into action by translating ideas into tasks and following them through to completion. Strong organizational skills, detail orientation, and resourcefulness are a must, along with comfort with every day looking a little different. The Account Coordination role is one of the most reactive in the agency, as it supports all members of the team when needs emerge. 

Key Accountabilities

  • Development and maintenance of project plans; moving projects forward through task oversight and team/client communication 
  • Support for Account lead in tactical oversight and execution, along with quality assurance  
  • Support of project health and client relationships  

Major Responsibilities

Client Relationships 

  • Provides strong support for clients and projects by providing essential administrative functions 
  • Supports Account leads and other team members by proactively identifying ways to help move projects forward  
  • Monitors status of all active project tasks; helps projects get delivered on time and on-budget
  • Provides structure and documentation through agenda creation, meticulous note-taking, and follow-up on action items 
  • Helps provide timely answers when asked questions by client or team 
  • Often serve as the first responder to confirm with clients that emails have been received, and sets things in motion internally to find answers to client inquiries
  • Supports the overall client experience 


Project Management  

  • Sets up project plans with tasks and deadlines within Willow’s project management software, updates plans when timelines shift 
  • Monitors project budgets and health and proactively communicates with team 
  • Delegates tasks and assignments with the approval from Account lead
  • Helps internal teams meet deadlines through reminders and communication
  • Assists in communicating deadlines to clients when asked by Account lead 
  • Follows defined processes, and offers ideas for improvement   

Estimating and Contract Production 

  • Creates first drafts of low-complexity Statements of Work (SOWs) and associated estimates for review and finalization by Account Lead 
  • Provides QA support for SOWs produced by others. 
  • Assists in RFP response creation and/or quality assurance under supervision of a Willow leader 

Writing and Proofing 

  • Provides strong and reliable writing and proofreading skills 
  • Produces relatively errorless day-to-day client communication 
  • Produces social content, when needed, under the direction of the Account Lead or Creative Director  
  • Produces supporting copy for presentation decks 
  • Produces internal project briefs for low-complexity engagements 
  • Proofreads copy of all kinds (decks, contracts, client deliverables, blog posts, etc.) 


  • Tracks time accurately and in a timely fashion 
  • May help with Intern oversigh

Additional Must-Haves: 

  • Active Driver’s License 
  • BA/BS or equivalent
  • Professionalism and friendliness 
  • Strong communication skills (verbal, written) 
  • Comfort with technical systems including, but not limited to: Microsoft Office, Google Program Suite (Gmail, Sheets, Docs, Slides, Chat, Drive), Virtual communication software (like Skype), Virtual Meeting software (Zoom, Teams) 
  • Proficiency in all major social media platforms 
  • Project management skills & use of PM tools and resources
  • Copywriting abilities, some familiarity with language style guides and proofreading
